Automatic transcription and summary

This information is about Danske Bank´s processing of your personal data when you attend online meetings, in-person meetings and calls that are automatically transcribed via Microsoft Teams for the purpose of producing meeting minutes.

Transcription is activated automatically for in-person meetings and online meetings. For calls, the advisor will activate it manually.

Purpose

To improve the quality of our meetings and calls with you and provide a better customer experience, we may use your personal data to automatically transcribe in-person meetings, online meetings (with or without video) and calls via Microsoft Teams to generate meeting summaries.

We use AI technology for transcription and summarising meetings. This allows our advisers to focus solely on advising you, improving the quality of our service and enabling you to receive a meeting summary promptly. Transcriptions are also used to analyse and ensure the accuracy of those summaries.

Transcription may also be used for internal meetings and external meetings with suppliers and partners. The purpose is to document what was discussed and agreed during the meeting as well as to improve our employees' engagement and working conditions through the support that AI technology can provide.

Personal data

When a call or a meeting is transcribed, we will process all information that participants discuss during the meeting including name, contact details, statements, questions and comments.

Legal basis

We process your personal data using AI technology based on our legitimate interests, c.f. Article 6(1)(f) of the GDPR. Our legitimate interests are to improve the quality of our service and to improve our employees' engagement and working conditions.

Notification

Online meetings and in-person meetings

Information about the transcription is provided in the meeting invitation and via Microsoft Teams notifications displayed during the meeting.

Calls via Microsoft Teams

The advisor will inform you that the call is being transcribed before the transcription is activated.

Retention and deletion of your personal data

Online meetings, in-person meetings and calls via Microsoft Teams

Transcriptions are deleted 30 days after the call, meeting or in-person meeting. Meeting summaries are deleted in accordance with Danske Bank's data retention policies.

Internal meetings and external meetings with suppliers and partners

Transcriptions are retained for as long as necessary to fulfil the purpose for which they are created after which they are securely deleted in accordance with Danske Bank´s data retention policies.

Right to object

You have the right to object to the processing of your personal information in connection with the transcription under Article 21 of the GDPR.

If you do not want the meeting or call to be transcribed, simply inform the advisor at or during the start of the meeting or call.

Other information and your rights

In certain circumstances, you have the right to access, rectification or erasure of your personal data and/or to restrict the processing.
